AEC Presenter Information
The call for abstracts for the 2025 AEC will be open from August 26 through September 27, 2024.
Review what topics we are looking for, the application process, and additional details:
Sessions will be held live at the Phoenix Convention Center on July 14 – 17, 2025, and virtually.

Session Details
Presentation Types
- In-Person: Traditional in-person session for in-person attendees.
- Prerecorded: Session recorded in advance of the conference and displayed to both in-person and virtual attendees.
- Poster: In-person and/or virtual poster presentation
Presentation Formats
All speakers are asked to bring their presentations on a thumb drive that can be plugged into the provided presentation laptop.

Room Layouts
- All Session rooms will have a standing podium and head table for panel sessions at the front of the room
- Lectures & Panels: Theater-style seating for attendees
- Learning Labs: Attendees will be seated at round tables for hands-on learning
Speaker Information
Agenda
- The draft agenda is meant to provide a general idea of the offerings at the AEC, however it is not final.
- The AEC platform and app will house the most up-to-date and detailed agenda. This will be available to speakers 2-3 weeks before the conference.
Speaker Orientation
- Speakers will be invited to a Speaker Orientation a few weeks prior to the conference.
Registration & Travel
- All presenters are required to register for Single Day or Full Conference Registration.
- Speaker discounts are not offered.
- All registration and travel costs are the responsibility of the presenter.
- We do not cover any speaker engagement fees.
Posters
Accepted poster presenters will have the option to present their posters both in-person and virtually.
- In-Person Posters: Displayed in the Poster Hall, which will be located within the AEC Exhibit Hall. Poster presenters will be required to print their own poster, mount them on provided poster boards, and be present with their posters during specified times.
- Virtual Posters: Displayed on the Virtual Poster Hall, in the AEC platform and app. Virtual poster presenters are not required to attend the conference in person. There is no virtual presentation component for these posters.
- Poster presenters are required to register for the AEC.
